QuickBooks Tips for Cleaner Books and Faster Closes

QuickBooks Online is the default ledger for a huge share of US small businesses, and most files use a fraction of what it offers. These are the features our QuickBooks-certified team configures first on every engagement.

1. Bank rules with auto-add, used carefully

Create rules for predictable transactions and enable auto-add only where the payee, amount, and category are truly constant (loan payments, software subscriptions). Everything else should stop in the review queue. A weekly 20-minute review beats a month-end archaeology session.

2. Recurring transactions for the whole close

Rent, insurance amortization, depreciation, payroll accruals, and standing invoices can all be recurring templates, scheduled or unscheduled. Your month-end close becomes a review of pre-built entries instead of manual journal creation.

3. Classes and locations for real segmentation

Turn on class and location tracking (Plus and Advanced plans) to report profitability by line of business, branch, or program without inflating the chart of accounts. Set "warn me when a transaction isn't assigned" so nothing slips through unclassified.

4. Reconcile everything, not just the bank

The reconcile tool works on credit cards, loans, and clearing accounts too. Reconciling payroll clearing and undeposited funds monthly catches the errors that otherwise surface at tax time.

5. Management reports, packaged

QBO's Management Reports feature bundles a cover page, table of contents, and your customized statements into one polished PDF. Save the package once, then generate it in seconds each month.

Bonus: Close the books (Settings > Advanced) with a password after each month-end. Combined with the audit log, it protects your reconciled history from accidental edits.
