Xero Tips That Save Hours Every Month

Xero rewards teams who set it up deliberately. These are the features we configure on every new Xero engagement, and the ones that save clients the most time month after month.

1. Bank rules, built properly

Most files we inherit have either no bank rules or hundreds of conflicting ones. Build rules for genuinely recurring transactions (rent, subscriptions, bank fees, payroll clearing), order them from most to least specific, and review the list quarterly. Well-built rules should auto-code the majority of routine bank lines.

2. Tracking categories instead of account sprawl

Need profitability by location, department, or project? Use Xero's two tracking categories rather than duplicating accounts. Your chart of accounts stays clean and every report can be sliced by the dimension you care about.

3. Repeating invoices and bills

Any invoice or bill that recurs on a schedule should be a repeating template, set to draft (for review) or approved (for true fixed amounts). This alone removes a surprising amount of month-end keying.

4. Custom report layouts, saved once

Build your management P&L, balance sheet, and cash summary as custom layouts with comparative periods and budget columns, then save them as a report pack. Month-end reporting becomes "update and publish", not "rebuild".

5. Find & Recode for cleanups

When a category has been miscoded for months, Find & Recode fixes hundreds of transactions in one operation, with a full audit trail. It is the single most powerful cleanup tool in Xero, and also the easiest to misuse, so restrict it to adviser users.

Bonus: Lock dates. Set a soft lock for the team and a hard lock at your last filed period. Nothing protects your reconciled history like a lock date.
